SMS and Email Template Designers

Information on the new designer for SMS and Email templates

The merge tags for SMS messages, email subjects and bodies have been unified and improved.

Tags such as <<CCR.CONTRACTNO>> are no longer valid and need to be updated to the new tag format.

To correct make a note of what the tag was, highlight the old tag and delete it, and then use the new drop downs to specify the new merge tag. Use Insert at cursor to insert the new merge tag.

So <<CCR.CONTRACTNO>> would instead be <<“Contracts”.”Contract No”>>

After updating all your tags click Save. If any tags are invalid you will be prompted to correct before Saving and closing.

If you try to send either an SMS or an email which contains invalid tags you will get a message and be directed to this page for help.

To specify a merge field to use in a message you choose from a list of tables and then fields.

These merge tags can be added to include almost any field in AdminBase. If the field you want to use is not there ask support and it can be added.

When in the SMS designer the tables offered are dependant on the context from which you are sending the message.

The fields offered are dependant on the table chosen

The depending on if the field chosen is currency, date or time you are offered some formatting choices.

Email Bodies for Lead or Contract report emails

Previously an email body came from a Report Builder template. You can still do that if you wish but you may prefer to use an html email body as these allow for better placement of graphics and are also more easily edited when sending the email.

Email definitions can be set up for any report eg a fitting letter or an order acknowledgement letter in Company Settings → Contract Type Defaults → Select the contract type → Select Payment method → select report eg Order Acknowledgement → Click Email Definitions to get to this

Alternatively in the report selection dialog choose Edit List and then Edit Report Definition. The below dialog is what you see when editing the Email Definitions from Company Settings.

If you access the settings from the report itself the dialog looks like this.

Note in the above example there is something in Report file - this will override any html so clear any file name here and then click the ellipsis button on the HTML body field / Email Body HTML. This takes you to this designer which is very similar to the one used for SMS in that the merge fields work the same way. Here though you can combine merge fields with rich text formatted text and add graphics and links to web pages.

Make sure you save when you have finished.

Email Subjects

These also use the same designer and allow you to add merge fields into your email subjects. Click the Ellipsis button on the Subject Line field to access the designer for these.
